Job Title: Administrative Assistant I – Admin to Director of Public Service

Department: Public Service

Status: A. Classified B. Exempt


Job Summary: Provides high-level administrative support for City Directors/Chiefs. Works independently and with autonomy, overseeing high-level projects, and proper adherence to process, and may oversee other clerical employees. Handles routine correspondence, as well as confidential and sensitive material and conversations.


May prepare legal documents and, correspondence with courts, law enforcement, and/or the public. May be involved in minor accounting duties, research, budget/bidding, and/or grant process to assist Director.


Job Duties:

  • Prepare correspondence, reports or other departmental documents.
  • Answer and direct calls to proper departments; act as Department receptionist.
  • Act as liaison between the Streets Department and property owners of vacant lots by updating files, sending out notices, and invoicing owners for maintenance.
  • Maintain Department files in an updated status.
  • Process internal paper flow related to personnel, departmental, and divisional matters.
  • Arrange meetings, make time and date reminders.
  • Prepare various Department contracts and bid specifications.
  • Process requisitions for department service; prepare invoices for payment to Public Service Director, vendors, and contractors.
  • Disburse, record, and act as custodian of petty cash.
  • Invoice and record lease agreements for City property.
  • Answer questions and resolve problems for the general public and City departments on a wide variety of subjects.
  • Respond to and assist in the resolution of complaints in a professional manner.
  • Keep recurring reports: attendance, vacation, training, and correspondence for the department.
  • Payroll duties that include collecting time sheets, entering hours and types of accrual used, maintaining accrual spreadsheets to verify the accuracy, and maintaining timesheet files for each department employee.
  • Perform other related miscellaneous duties as required


Requirements:

  • High School Graduate with administrative assistant skills.
  • Computer literacy with proficiency in MS Office Suite.
  • Excellent interpersonal and communication skills with the ability to express and exchange ideas and instructions accurately and clearly.
  • Maintain confidentiality on departmental matters.



Work Environment: Office. Sedentary work: exerting negligible force; occasional walking and standing. Physical activity: Climbing, stooping, kneeling, pushing, pulling, lifting, grasping. Perform substantial repetitive motions of the wrists, fingers, and hands.


Grade 6: $22.03 - $29.93, 40 hours per week, Monday - Friday

THE 2025 NEIGHBORHOOD WALK & STROLL Join us for this special "on the move" edition of the annual 200th Street Stroll! Due to some long-awaited improvements happening on East 200th Street this summer, this year's stroll will be strolling over to East 185th for it's second year! Enjoy an afternoon of family-friendly fun while supporting the businesses that call 200th AND 185th Streets home. There will be music, activities, vendors, food, rocket-car rides, comedy bus tours and more! Save the date and join us on East 185th for a celebration of our local businesses and community partners. RETURNING THIS YEAR: VENDOR OPPORTUNITIES! This year's stroll is allowing vendors to set up tables and sell goods along East 185th. Each vendor will get an assigned space along the festival route, and will have the opportunity to set up their own tent and table to sell merchandise. This opportunity is FREE for businesses with a physical location on East 200th or East 185th Streets. The cost is only $26 ($25 + $1 processing fee!) for non-profits to secure a space. The cost is only $52 ($50 + $2 processing fee!) for vendors and for-profit businesses. Food trucks may participate for FREE! (Limited spaces.) The highly attended "Stroll" is a great opportunity to reach both Euclid and Cleveland residents! Please fill out the application below to sign up as a vendor and be assigned a space for the event!
